Privacy Policy
This policy explains how JIG Events, trading as JIG Concierge Services ("JIG", "we", "us"), based in Birmingham, UK, collects and uses personal information when you use jigevents.co.uk, contact us, or speak to our assistant. We are the data controller for the information described here.
What we collect and why
- Enquiry form: your name, email, optional phone number, the service you want, optional date and party size, and your message. We use it to reply to you, arrange and confirm your request, and keep a record of it. Legal basis: taking steps at your request before a booking, and our legitimate interest in running the business.
- VIP list: your email address. We use it to get in touch personally when something relevant comes up. Legal basis: your consent, which you can withdraw at any time.
- Voice and chat assistant ("Ask JIG"): your voice or typed messages, a transcript, and any details you share so we can capture your request (for example name, contact details, dates and preferences). The assistant is an AI. Conversations are recorded and transcribed, and the assistant provider processes them for us. Please do not share sensitive personal information, payment card details or passwords with the assistant. Legal basis: your consent when you start the conversation, and our legitimate interest in handling your request.
- Booking a call: if you book through Calendly, Calendly collects the details you enter and shares them with us. Calendly has its own privacy policy.
- Job applications: if you apply for a role by email, we receive whatever you send (usually your name, contact details and CV). We use it only to consider your application. Legal basis: steps at your request, and our legitimate interest in recruitment.
- Direct messages and emails: if you contact us by email, WhatsApp or Instagram, we keep the messages so we can respond.
- Technical data: like any website, the servers that deliver this site (Cloudflare) process your IP address and basic device information to serve pages securely. Fonts are loaded from Google Fonts, which also receives your IP address. We use Cloudflare Web Analytics to count page views and visits in aggregate (for example which pages are viewed and from what type of device or country). It does not use cookies, does not track individual visitors across sites, and we do not use advertising cookies. The site also has an optional “Load Instagram posts” button; nothing from Instagram (Meta) is loaded until you press it, and when you do, Instagram may receive your IP address and set its own cookies under its own policy.
Who we share it with
We do not sell your personal information. We share it only with service providers who help us run JIG, and only as needed: the voice and chat assistant provider (ElevenLabs), Calendly for bookings, our email provider (Google), a form-delivery service (FormSubmit) that passes your enquiry to our inbox, Cloudflare for hosting, and, once you ask us to proceed with a booking, the third-party providers we use to fulfil it (for example chauffeurs, accommodation hosts, venues and ticketing partners), who receive only the details they need. We may also disclose information where the law requires it.
International transfers
Some of these providers are based outside the UK, including in the United States. Where that happens we rely on appropriate safeguards such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework, or on the provider’s standard contractual clauses.
How long we keep it
- Enquiries and booking records: up to 24 months after our last contact, or longer where we need them for accounting or legal reasons.
- VIP list emails: until you ask us to remove you.
- Assistant conversations and transcripts: up to 12 months, unless they form part of a booking record.
- Job applications: up to 6 months if unsuccessful, unless you ask us to keep them longer.
Your rights
Under UK data protection law you can ask us to access the personal information we hold about you, correct it, erase it, restrict or object to how we use it, and receive a copy in a portable format. Where we rely on consent you can withdraw it at any time, which does not affect earlier use. To exercise any of these rights, email [email protected]. We aim to reply within one month.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put things right first.
Security
We use reputable providers and sensible measures to protect your information, but no system is completely secure. Payments are never taken through this website; if a payment is requested after a booking is confirmed, it is made through a secure hosted page from our payment provider.
Children
Our services are for adults aged 18 and over. We do not knowingly collect information from anyone under 18.
Changes
We may update this policy from time to time. The date at the top shows when it was last changed.
